2004 Grand Chapter Meeting minutes

The Grand Chapter meeting was called to order by Carol Hodes, GWIS National President, at Northeastern University, Boston, MA on Friday, June 11, 2004.

Roll call was performed by Diane Tulipani, National Secretary, to determine the presence of a quorum:

Of a possible 54 voting positions, there were 40 present, achieving a quorum for the Grand Chapter to conduct business.

Approval of 2004 Grand Chapter Agenda:
Helen Haller made the motion to accept the agenda forthe 2004 Grand Chapter meeting. It was seconded by Mary Anderson. Motion was passed unanimously.

Approval of minutes from June 2003 Grand Chapter meeting:
Regina made a motion to accept the 2003 Grand Chapter meeting minutes. Sue Keirstead seconded the motion. The motion was passed unanimously.

Moment of Silence for Deceased GWIS Members:
The following names of deceased members of GWIS were read, followed by a moment of silence.

Summary of Reports of Officers:

Complete reports are contained within the document distributed at the National meeting. Below is a brief summary of those reports and/or the verbal report given by the officer:

President:
Dr. Carol Hodes (Nu) Carol acknowledged several people for their hard work over the past year. These included Penny Beuning and Alpha Omega chapter for hosting this year's meeting; Diane Tulipani for the successful implementation of the One-Pay plan; Dee McManus for all her efforts with the Bulletin and the website; Kate Kelley for coordinating the fellowships; and several other members who attended the AAAS meetings. She also mentioned the closing of Chi Chapter with the receipt of that chapter's charter, yet Kathy Grako continues to receive inquiries for new chapter establishment at other locations such as Washington State University and the University of North Texas. She also mentioned briefly the potential of an executive officer to help promote and build GWIS nationally.

Vice-President:
Dr. Regina Vidaver (Beta) Regina submitted her report at the national meeting. Its complete text will be included here. She did work with Kate Kelley on a document for the website focusing on the topic, 'What is GWIS.'

President-elect:
Ms. Amber Bradley (Tau) No report.

Secretary:
Ms. Diane Tulipani (Tau) With this being her last year as National secretary, Diane mentioned the new mailing address of the National Office. As of July 1, 2004 it will be GWIS, c/o Marie Drottar, PO Box 291, Avon, MA 02322. As of the meeting date, the new phone number had yet to be established. This past year, she continued with the implementation of the One-Pay plan for all chapters. Three chapters never responded to the request for information. A form was created that will be sent out to all chapters requesting information that will be used to complete their membership forms. This will need to be pursued by the new secretary. As discussed in the National Council meeting, membership renewals were sent out in October 2003 and then again in May 2004. The mailing in May is to align membership renewals with the fiscal year of the National organization. Additional benefits to the shift will hopefully be seen in capturing current member information in preparation for the new Directory (to be generated by the end of August 2004) and to potentially retain graduate students who have completed their degrees in the spring. Diane will assist the new secretary with the creation of the next edition of the GWIS National Member Directory.

Treasurer:
Dr. Helen D. Haller (Omega) Helen's extensive report and review of the GWIS accounts occurred in the National Council meeting and for the sake of expediency, was not repeated during Grand Chapter. Please refer to both the national meeting document 2004 and the 2004 National Council meeting minutes for the information.

Past President:
Dr. Kathy Grako (Tau) Please refer to the national meeting document for the complete text of her report. Much of her efforts this past year have been focused on Chapter Establishment.

Report of Committee Chairs:

Editorial Board:
Ms. Dee McManus (Xi) Dee's report discussed her work on managing the publication of the GWIS newsletter, the Bulletin. She wanted to thank those people who have made written contributions to the Bulletins and continues to encourage members to write and submit articles for the Bulletins. Having more people involved will make the whole process much more manageable. This year there were three issues published and mailed to members.

National Fellowships Coordinator Report:
Dr. Robin Woo (Omicron) for Dr. Kate Kelley (Theta Alpha) Robin discussed the need and desire to follow up with current and past awardees to find out where they are, what they are doing, and if they have continued to be a member of GWIS. She also said that Kate will definitely continue as the Fellowships Coordinator; the entire Grand Chapter (those present) expressed great appreciation for all her hard work and the effort she has made with coordinating the review process for all the fellowships. Robin said she would contact Kate regarding the approval of the awardees chosen by the various committees. Helen will put their checks in the mail by the end of June 2004.

Honorary Membership Awards Committee:
Dr. Monique Braude (Omicron) Monique submitted a written report as she was not able to attend the national meeting. The complete text is in the national meeting document. It states the new procedures for the Honorary Membership Award Committee.

Nominating:
Kit Barker (Sigma) Kit submitted a written report in her absence which included the slate of candidates for the executive officer positions and elected committee positions.

Development:
Dr. Robin Woo (Omicron) Robin stated that more grants are to be written to Eli Lilly requesting more support.

Washington Liaison:
Dr. Ariel Hollinshead (Omicron) Helen received a copy of the report but did not realize it was not sent to the national secretary. She forwarded a copy to Diane to be added to the national meeting document. A copy has been included at the end of these minutes as well.

AAAS Representatives:
Dr. Virginia Carson (Sigma, to Biological Sciences), Dr. Ariel Hollinshead (Omicron, to Medical Sciences), Dr. Pat Shaffer (Tau, to Chemistry), Dr. Celia Marshak (Tau, to Education), and Dr. Nell Mondy (Alpha, to Agriculture, Food, and Renewable Resources). Several GWIS members attended the AAAS meeting in Seattle, Washington, in February 2004. Their individual reports are in the national meeting document.

Listserve:
Dr. Judith Artley (Alpha Omega) Judy has taken over supervision of the GWIS listserve. She said there has been little activity recently. She requested an updated list of email addresses from the National database so that she could contact all members and offer them access to the GWIS listserve. Judy hopes to introduce a new discussion topic every other week.

Chapter Reports
The complete reports submitted by various chapters are included in the document distributed for the national meeting. Chapters that submitted written reports were Sigma, Lambda, Alpha Omega, Tau, Xi, Beta, and Chi/Eta from Dr. Elfriede Linsmaier-Bednar. It was requested by Sue Keirstead of Xi chapter that a formal report layout for financial reports be provided to the chapters. Robin Woo of Omicron said she would develop such a layout and it will be included in the packet sent to the chapters 60 days prior to the next national meeting.

The following notes are portions of those reports as well as some not included.

Omicron
Omicron had not submitted a written report so Dr. Paddy Wiesenfeld discussed some of the chapter's activities for the previous year. Omicron did submit a financial report for 2003-04, which was included in the national meeting document. She also stated that if anyone had a question on the chapter's financial report, they can contact her directly. Omicron had a successful year, especially in outreach efforts. They hosted [or attended and judged?] a science fair, giving awards to poster presenters. As a chapter, they held a grant review session and a career development session with NSF.

Tau
In addition to the written report, Pat Shaffer announced that Tau chapter will be hosting the 2005 national meeting of GWIS on June 9-12th in San Diego, CA, on the campus of the University of San Diego.

Xi
Sue Keirstead had no information to add to the written report. She did add, that if anyone wanted to contact her, she can be reached at sakeir@umn.edu.

Please refer to all the reports listed in the national meeting document as well as the minutes from the 2004 National Council meeting.

New Business:

GWIS Budget for 2004-2005 (release Fellowship funds and empower Treasurer to write checks):
Dr. Helen D. Haller requested that the Treasurer be empowered to: a. Open and close accounts. b. Transfer funds c. Pay all bills d. Disburse Fellowships funds

Sue Keirstead moved the actions as stated above. Gloria Gridley seconded the motion. The motion was passed unanimously.

The details of the proposed Budget for 2004-2005 are located on pages 24-25 of the handout for the national meeting. All changes discussed during the National Council meeting were affirmed by the Grand Chapter.

Honorary Membership Awards Procedures:
Gloria Gridley mentioned the report found on page 44. It details the new shorter procedure that replaces the current one. those having any questions on thisshould contact Gloria.

Interim Meeting:
AAAS is holding its meeting February 17-21, 2005, in Washington, DC. Omicron chapter will be hosting the interim meeting and potentially a booth for GWIS.

Nominations/Appointments of New Officers:
Dr. Carol Hodes (Nu) Carol Hodes, filling in for Kit Barker, chair of the Nominating Committee, presented the following slate of officers forelection: Ms. Amber Bradley - President Dr. Regina Vidaver - President-Elect Dr. Paddy Wiesenfeld - Vice-President Ms. Marie Drottar - Secretary Dr. Kathy Grako - Board of Directors New member - Nominating committee Alison Bell St. John (Nu) New member - Omega Chapter committee Joan P. The slate of officers and committee chairs was approved by the Grand Chapter, pending the receipt of ballots (due no later than June 30, 2004).

Carol extended all of our thanks to Mary Anderson, who was the outgoing Board of Directors member (being replaced by Kathy Grako). Mary was presented with a gift acknowledging the deep appreciation we all have for her tremendous dedication and hard work for GWIS.

ADDENDUM TO THE MEETING DOCUMENT AND MINUTES: Report of the Washington Liaison: Dr. Ariel Hollinshead (Omicron) April 2004

As my report to National Graduate Women in Science (GWIS) / Sigma Delta Epsilon (SDE), I would like to:

1) Introduce you to:

2) Introduce Lucia Bruce to a nation-wide organization devoted to helping girls and women for careers as scientists, engineers, technocrats.

Ms. Bruce has written a fine letter, listing the initiatives designed to:

  1. help women achieve financial security
  2. education conferences for Hispanic women who face unique challenges when it comes to financial security.
  3. Wi$e Up, an e-mentoring financial security and retirement savings project accessible via the web and at institutions in six regions designed to help Generation X, ages 22 to 35, in managing money, saving, investing, using credit wisely, buying insurance and retirement planning.
  4. Flex-Options for Women. Encouraging women entrepreneurs to focus on work redesign and implementing flexible work options. Teleconferences will be held June 24 and August 26 (call 202-693-6767).
And many other initiatives on her list…

This one I would like to call your attention to is:
GEM-SET. For the past two years or more, the Women's Bureau at the U.S. Department of Labor has been leading GEM-SET a demonstration project that links girls, ages 13-18, with volunteer women mentors in the field of science, engineering, and technology via e-mail and website (www.gem-set.org).

I would deeply appreciate it, if this email letter might be copied off and inserted into the meeting folders for SDE/GWIS June meeting. Many of us are not aware of these endeavors, and might learn something. It would be even nicer if one of you would discuss how this project could be aided, joined, abetted, (perhaps a DOL small grant?) by the amazing talent to be found in our organization. I believe that Lucia Bruce and others just might want to hear about some of our projects in mentoring, in judging high school science fairs, etc.
